How Much Does a Bookkeeping Cleanup Actually Cost?

If your books have been neglected for months, here's what actually drives the price of getting them caught up โ€” and what a fair range looks like.

Published by Stephanie Batson, Fractional CFO & Controller, Hudson Valley Growth Advisory.

The Real Answer

Most cleanups run $1,200 to $2,500, one-time.

That's a wide range on purpose โ€” the actual number depends entirely on your specific situation. A business four months behind with two bank accounts is a very different project than one a year behind with multiple payment processors, a franchise royalty structure, or several entities feeding into one set of books.

What I won't do is quote you a number before actually looking at your books. Flat-rate quotes given sight-unseen are usually either padded to cover the unknown, or too low and followed by "additional fees" once the real scope shows up. Neither is fair to you.

What Actually Drives the Price

Four things determine your real cost.

Factor
Why it matters
Months behind
Each additional month means more transactions to reconcile and categorize โ€” the biggest single driver of scope.
Number of accounts
Bank accounts, credit cards, and payment processors (PayPal, Square, Stripe) each add reconciliation work.
Categorization mess
Transactions dumped into "Uncategorized" or miscoded direct/indirect costs take real time to sort out correctly.
Chart of accounts setup
If your chart of accounts was never built to track your actual revenue categories or cost structure, it needs to be designed, not just cleaned.
What's Actually Included

A real cleanup isn't just "categorize the transactions."

Common Questions

What people ask before starting a cleanup.

How long does a cleanup take?

Most cleanups take two to six weeks depending on scope, transaction volume, and how quickly you can provide account access and documentation.

What happens after the cleanup is done?

That's entirely your call. Some clients just needed to get current and stop there. Most move into ongoing monthly bookkeeping once they've felt what it's like to have accurate books โ€” starting at $800/month, so things don't drift back into the same mess.

Do you need QuickBooks access to quote an accurate price?

Yes โ€” or at minimum a clear picture of your accounts and how far behind things are. That's exactly what the free 20-minute call is for. I'd rather look before I quote than guess and have to revise later.

Get an actual number, not a guess.

Free 20-minute call. Tell me how far behind things are and what your accounts look like, and I'll give you a real quote, not a range pulled from a website.
